Attaching tasks to items...
Hello and thanks to any kind souls who read thru this and have ANY suggestions to offer.
I am VERY impressed by the podio environment! There is one very big problem and I hope it, and the rest of this posting is just a misunderstanding on my part, and there is a clear path to a solution (a few links, a you tube video, or just good advice)
THE ISSUE: I am VERY confused as to the best way to implement Tasks which complements, not conflicts with, "App Items".
Using the basic Project Apps Template, the one with Projects and Deliverable, I added a "Tasks App" app.
I can now assign "Tasks App Items" to Deliverables, so I can display the "Tasks App Items" on a Card View,
I can easily drag "Tasks App Items"
- across to different statuses (LOVE IT),
- down to different Deliverable (FAB),
- and diagonally, to change both Status and Parent Deliverable (ECSTASY)
But those aren’t really "Podio Tasks", they’re Items in an Action App called "Tasks".
OK, so lets say I rename the "Tasks App Items" to "Items Formally Known As Tasks" (obviously, I would use a different term)
Do I choose one over the other? or try to use both?
- Can I work with Tasks like "Items Formally Known As Tasks"? in a card view (like an agile board)?
- Can I assign Reminders to "Items Formally Known As Tasks", like I can with Tasks?
- Can I parent Tasks to other tasks, the way I can with "Items Formally Known As Tasks"?
- Can I parent Tasks to more then one Deliverable or Project, they way I can with "Items Formally Known As Tasks"?
- When my users go to "My Tasks", they expect to see every-"thing" they are expected to complete (Their Tasks!)
This is a completely reasonable and natural assumption.
Due to this misunderstanding, Due Dates have been missed, and users feel betrayed by a system they were trusting.
- If I hide Tasks from the calendar, my users are particularly confused!
- Items found on Podio Calendars do not have a reminder feature!
- BUT Items found on Podio Tasks DO have reminders!
This means tasks and calendar items are defined in podio, in the completely opposite way then they are in outlook, gmail, Thunderbird, OSX core apps, android, and IOS. Creating a Task for an item, just to use it as a reminder is double data entry and creates chaos and confusion.
Can I remove the "Tasks" icon from the user interface altogether?

I understand the confusion. Internally in Podio we use both - so apps for tasks and the native tasks functionality for small to-dos.
Example, if you like your team to easily overview assigned tasks, with description and tracking needed (sub-tasks to deliverables, development tasks or similar) I would use an app. For anything smaller like "call this person", "follow up" etc, I will use the Podio native task functionality as small individual reminders.
If the task is bigger and you need to assign a time period / or hours spent, I would track it from an app :)
Unfortunately it is currently not possible to remove the native task icon from the interface but we're looking into a solution that might make this possible in the future.
