We are committed to keeping our customers’ data secure and compliant. Podio's data retention and deletion policy are designed to help limit the exposure of our customer's sensitive data, keep our systems up to date, and ensure we only keep the data that we need.
- Organizations blocked due to non-payment
For organizations that get blocked due to non-payment, we will delete their data from our system in 30 days. If the organization wishes to get access to their data again, they need to pay their pending invoice and contact support to get their organization unblocked within these 30 days. Please note: We send 3 reminder emails in the 90 days prior to blocking due to non-payment then we send another reminder email before deleting data. Please ensure your Organization's Contract Owner is up to date with the correct person and that their primary email account with Podio is active during this period to ensure they receive delete Organization deletion emails. If you need assistance with updating your Contract Owner, please contact support.
Free Inactive Organizations
Inactive Free organizations will be notified of inactivity if every user in that organization has been inactive for 90 days. This notification will happen via email to all Employee users of the organization. If even a single user logs into Podio after this email, we will not take any action, otherwise, we will be deleting that organization and its associated data after 30 days of this email.
- Organizations that terminate their contract
For organizations that decide to end their contract with Podio, we will no longer downgrade such organizations to a Free plan, instead, these organizations will be blocked immediately and will be deleted from our system in the next 60 days. If the organization wishes to get access to their data again, they need to contact support to upgrade to a paid plan within these 60 days.
- Free Inactive User deletion:
Podio users who have not logged into Podio for 13 months are considered inactive and are eligible for deletion. These users in inactive state will receive an email at the end of 13 months of inactivity and will have 30 days to log into Podio to activate their Podio account before their data and account will be deleted.
