File Upload - New Trigger on workflow automation
FeaturedDear Users,
Hope you had a Merry Christmas, a Happy New Year and an enjoyable holiday season!
As we step into 2023, we have a New Year gift for you, one of the most requested features on Podio workflow automation is now live for your exploration. Now go set up a new workflow with the much awaited "File Upload Trigger".
What is new?
We have just added a new feature for Podio workflow automation to trigger a workflow based on file upload (attachment) to app items. This is currently the most requested feature from users in our workflow automation forum, will help support new use cases for automations, and reduce the need for custom workarounds.
On selecting "file upload" as a trigger, new field tokens related to the uploaded file will be available to be used in the workflow. This works for any new file attachment on a Podio item, irrespective of whether it is directly uploaded as an attachment or is linked from a document sharing service like ShareFile.
We also added additional information to support developers and power users to Podio webhook event for file actions: https://developers.podio.com/doc/hooks
- file.change: When attachments on an item change, ie. added, replaced or removed. Provides parameter "item_id", "action_type" and "file_ids". Possible values of parameter "action_type" are: "file_created" or "file_replaced" or "file_deleted". Parameter "file_ids" is a comma delimited string of file id(s).
What's coming next?
We have plans on enhancing this trigger further this year, with better filter capabilities and newer actions that can be triggered based on a new file upload.
For more details, check out our help centre article on how to use this new trigger. Comment below or reach out to technical support for any queries.
Cheers,
Team Podio

Quick question, what is the max capacity of records in a file will this trigger support. Since we currently limit our upload to less than 5000 records due to other flows being triggered on record creation and then getting throttled. So will this trigger also exclude the item create capacity throttle or that still stays

Thanks Lisa von Sturmer .. we aim to keep the momentum up.
Suresh Paul Podio supports integration with Dropbox as a file service. So if you have dropbox connected with Podio, then yes, attaching a new file from Dropbox will also support this trigger for workflows.

Hi Jayraj Berde, when you refer to file with limited records, I believe you are discussing about the excel import process of creating new items using a new file import (upload). If so, then this new file upload trigger has no affect on that limit. This trigger is related to file upload/attach on a Podio item, that would initiate a workflow via Podio workflow automation. However, if you create more workflows that get triggered based on a new record creation, then you will need to reduce the limit of records in the file further.
