  You will need to set up some workflows in Podio Workflow Automation.  (Previously Globiflow)

  Basically, in whatever method your currently using to bring data into Podio, you'll need to insert a duplicate check step just before any Podio items are created.   This step will search your existing app for a match to one or more of the fields of the record its about to create.  If a match is found, then your workflow will not create a new record, but maybe update the existing one or add a comment or something.  A new record is only created if your duplicate check does not find any matches.
