Upcoming upgrade to workflow automation

What's happening?

We are preparing a significant upgrade to our advanced workflow automation feature (GlobiFlow), which is planned to go live on Saturday, September 14, 2019, with a larger maintenance on the platform.

As a part of the upgrade, we will be moving the hosting of your advanced workflows from Rackspace, US to Amazon Web Services in Ireland, EU located closely along with the rest of Podio.

This means we will have both Podio and the advanced workflow automation feature co-located in the EU and can leverage the great technology provided by Amazon Cloud to deliver even faster and stronger workflow automation for our customers.

As a part of the move, workflow automation and access to http://www.globiflow.com/ will be temporarily down as we perform the upgrade.

Please follow this scheduled maintenance event for further updates on timing as we make the move.

Podio and the native basic workflows will continue to be available during the maintenance event.

If you have questions about general hosting of data in Podio or security and compliance of the Amazon Cloud, please read more details here.

How workflow automation can help your team?

If you are not already using our advanced workflows to improve internal processes and automate repetitive tasks, find more details here. Our existing customers are saving 248 hours a week in average by automating repetitive tasks and enabling their teams be more productive and get things done faster. We would love to help your team get started as well.

Why the move to AWS?

In 2018 we had 700 million workflow actions trigger to help our customers automate repetitive work, and this year we continue to see a growth in usage of our workflow capabilities. AWS provides us with great flexibility, and also helps us scale and develop our products more quickly and easily. AWS has high-performing, reliable, and secure data centers around the world that will allow us to continue to provide our customers with the best possible service experience as we scale.

What will I need to do?

Customers that are required to whitelist GlobiFlow IP addresses for SMTP, remote post or other services will need to whitelist the following new IP addresses before September 14 to avoid service disruption.

3.248.131.28
54.171.83.63
108.128.182.146

We will continue to keep our IP address page up to date here.

Hi!

Thanks for this post. Actually I have not understood whether the upgrade to workflow automation is only related to the moving of the hosting, or if we will have new features available, related with workflows on Podio (e.g. the possibility to clone workflows).

Many thanks for your reply.

Best Regards

Giovanni

Hi Giovanni,

Good question. As a first step, the maintenance event will cover hosting of data being moved to Amazon Web Services. However Amazon will enable us to scale workflow automation further in the future, faster and better performance overall.

If you are looking to better clone workflows, I recommend you to either use the "export/import" workflow feature:

http://www.globiflow.com/help/exporting-and-importing-flows.php

Or create an app pack including the workflows that you can use to clone the apps and workflows in other workspaces:

General app pack with native workflows:

https://help.podio.com/hc/en-us/articles/201019658-Share-apps-to-the-App-Market

Publish advanced workflow automation (GlobiFlow workflows) to your app market for easy install:

http://www.globiflow.com/help/flow-publishing-and-automatic-imports.php

Are you using the native Podio workflow functionality or the advanced workflows from GlobiFlow?

Greeting!

Once the move/maintenance is completed will I need to reconnect ShareFile and RightSignature integrations for our workflow automation?   (we experienced an issue yesterday with these being disconnected and don't wish to repeat)

Hi Sarah,

Integrations with ShareFile and RightSignature should stay in place - this is our plan - you shouldn't need to re-connect again.

Thanks,

Just so I can clearly understand this, from now on we need to whitelist the above 3 IP's and remove the original (Pre September 13th) which were listed as www1 through www12

@IT Team, I would recommend keeping both listed for now when adding the new IP addresses (wait to remove the old IP addresses before after September 14).

Hi,

During maintenance will flows be triggered in que? Or is a complete offline and all automation will not run or be tracked during the down time?

Thank You

GREEN HOSTING!

Hi,

in this great step ...Have you thought about opening up the opportunity to support sustainable hosting?

My green regards

@Don, Triggers from Podio will be queued and handled after downtime. No automation will run during the downtime. If you have date/time based triggers in GlobiFlow they will need to be re-scheduled to after downtime.

@Federico, can you clarify what you mean by "sustainable hosting"?

Thanks,

Sara
