    Hi Andrew,

Thanks a lot for sharing your feedback on this with us - much appreciated! Access control is something we are looking a bit closer at, and which tweaks that can bring value to our customers is always something we are interested in hearing.

As you might know, you can today share also the related items with the person via the 'Share item' feature:
    https://help.podio.com/hc/en-us/articles/201019768-Sharing-a-single-item

And to restrict access, this is today done via placing the item in another workspace, for example a Admin workspace or a workspace where you only invite the people who should have access to the item/items

Groups would be, as I see it, a certain workspace. Or how do you see this ideally working? Person A with role X should automatically only see certain items within a specific workspace/app?

    Hi Charlie,

Thanks for your note. The problem is as a company, we don't particularly want to have a plethora of workspaces for the each department in order to control access according to standard corporate access principles.

    I will share an example...

Recently we trialled Podio with our finance department. Part of this meant we track deliverables, KPI, tasks, procedures for the department overall. However within the department there are CFO level tasks and coordinator level tasks. The CFO can see coordinator tasks however coordinators cannot see all of cfo tasks (confidential).

Under Podio, to handle this we either give the coordinators guest access to each individual record for each coordinator (in which case they come to me every day asking for extra ability to link procedures or other things and I have to link each of them to a record) or we create a second workspace for each role in the company, which will become so, so messy.

We like to track department performance in aggregate and have a minimalist approach which I think plays to the concept of Podio nicely.

I am happy to discuss this with you however I can see this as a major stumbling block for what could be an awesome, game changing system, which Podio team have obviously put a lot of work into refining. Large corporate will not be able to manage this.

    Best regards,

    Andrew

    Hello Andrew,

Thanks a lot for getting back to us on this and for paining up the picture of a scenario that gives a clear view on when a sort of access control could be useful. Much appreciated!

We are not turning a blind eye on this, and it is also why we are looking in to refinements of the same. Podio is a very transparent tool and welcomes cross team collaboration but there can of course be scenarios, such as the one you describe, where confidentiality is a key player.

For now it's the workspace/team/access that is the way to set it up. But it is an interesting point you are making and we will discuss this further to see how the best way could be designed in this matter in the future.

    Thanks again,
    Charlie - Podio

    Hey,
I want to echo Andrew's request. Is there anything like this in the works that we can look forward to?

    Thanks!

    Hi JD,

We've been re-prioritizing new features and access controls is one of the top things on our list. I can't promise a timeline or anything specific, but just know that this is something we would like to add some improvements to! We will keep you posted here with any new releases.

For record access control, you may want to have a look at how Knack implemented it. Very straightforward and understandable. http://helpdesk.knackhq.com/support/solutions/articles/5000443970-showing-records-connected-to-the-logged-in-user#user-views

We also have been waiting for this feature for years now.

We absolutely need access control/ permissions implemented at FIELD level in apps.

This is required for many of our apps, where we have fields that every space member should see, and also have fields with costing (or other sensitive data) that only the management should see.

The suggested solution (creating separate ,more private spaces) is messy at best. Some of our Apps feature thousand of items that have multiple links (or relationships) to items in multiple apps.

We tried copying apps to a private space and adding there fields with sensitive information, but could not find a reliable way to automatically mirror the new entries in the original app.

Can Podio share if there is a road map for implementing this feature or any other details?

That would at least give us a glimmer of hope.

I think it is pretty clear that this is a high priority feature for many, many users. This is (by far !!!) not the only post requesting this feature.

    Thanks!
