Sharing apps and their content
CompletedI'd like to be able to share more than just an item, but less than a workspace. In some cases, an ideal solution would be to simply share an app.

Thank you for this input Maciej and Renan.
Currently, you can clone an app inside Podio or you can export an app to excel.
I see how it could also be relevant to share an app like you can share an item - for example when working largely with freelancers.
If you have specific use cases for why you would like this feature we would love to hear them and this will help us build the argument for adding the feature.

Thanks for your response, Mette! This feature will be useful in almost any case, but here are a couple of real-life examples:
I have a workspace called Creative Development, set up in order to work on all kinds of creative projects. I have all sorts of apps there, like CSS styling, Fonts, Logotypes, Color scheme, etc. Working with different freelancers, I have a need of sharing some of them but not all. Also, sharing just a project simply doesn't cut it.
Another example would be a workspace for use for our staff. In it, we have an app called Resources would like to share with external clients. Of course, we cannot invite them to this private workspace.

Hi, Mette! Thank you for your reply. I am sorry for not answering before. I see many cases that sharing only one app than whole workspace would be better. I am a CEO of a small startup and currently we are trying Podio as a substitute of an ERP for the whole company. Due that, I and a few others have been exploring many of the resources, to be certain that it will be a good strategic solution for our expected growing as a company.
Main issues already detected are this and printing pdf customized forms (which I would be glad to spoke about later). There are also a few other questions.
About sharing one single app, this would be great when working with freelancer’s consultants, costumers and internal people of different areas. We are a company that does not work with rigid departments. We are more process guided, yet this situation is applied.
In Sales workspace, for example, would be great to share an app of Satisfaction Questionnaire to be used by all external sales. Also, open new prospects would be good to be accessed by all, as a salesperson can verified that a prospect with certain project is already open, so they do not expend energy trying a contact that belongs to someone else. Despite that, all information about the costumer, commercial costs, deals closed per salesperson, etc. would not be interesting sharing with external salespeople.
Same logic applies to different workspace internal people. Some information could be public in Human Resources, such as trainings made by everybody and competences related. Yet, personal security number, which is inside workforce database app would need to be very restrict.
With freelancers, would be good to share an app of some databases, such as the ‘Deliverables’ app of the workspace of the project they are working for. But costs, internal operational procedures, contract documents, would not be desirable.
I know Maciej highlighted some of the issues, but I am just showing that this would be a good improve for a lot of applications.
Finally, I would like to say we see a lot of potential in Podio and we would like to grow as a company having a tool flexible and smart just as Podio looks like to be. We hope those minor issues can be solved in our way to thrive.Best Regards,

Hello.
one other use case that would be really valuable to me:
I have a workspace for "Team Issues/Concerns". In that workspace, each team member has an app with their name and which only they are invited to and where they can privately submit their issue or concern. i.e.: i would see on my screen, "Member1 Issues/Concerns", Member2 Issues/Concerns", etc...
As of now, the only way i see being able to do this is to create an individual workspace for each team member. unless maybe i'm missing something?

I have an app configured as a Content Planner which has the useful feature of being able to be displayed as a calendar view. This view isn't available in a deliverable but is very helpful when wanting to see what marketing content is in the pipeline. It goes without saying that it would be immensely helpful to be able to share the app and all the deliverable with external copywriters, photographers and video production people so they can all benefit from they same calendar view that we can see. It would be far better than the current option which is to share each individual deliverable. Glad to know if there has been any progress with this feature request?

yes sharing views would solve all our problems! or at least put the apps menu for light members instead of this "Items shared with you" in the left hand menu...
this way everyone see's exactly what they need to see thru a contacts member sharing field in the app that we could call "access"

It is hard to understand why such a crucial feature is still not available after having been requested by many for years (in different topics on this site). One use case that has come up and for which I am looking for a solution:
We need to track deal registrations per sales opportunity. Our distributors need access to the list of current deal registrations. That access should be read-only.
The best solution would be an ability to share a single view/report with external users in read-only mode.
Alternatively, the ability to add external users to apps (in read-only as well as read-write mode) would be required. Obviously without giving external users access to the entire workspace, because there is a lot of confidential information in other apps of the workspace.

My organization is yet another where this feature is crucial if Podio is going to be our go-to place to get things done.
The reason is simple: departments need to be able to work together on certain projects.
Each department is not an island with its own goals that have nothing to do with other departments. Rather we are a body and each part of the body needs to be able to collaborate with other parts in order to fulfill the overall vision of the organization.
To be able to give a department its own workspace is great to have that team meet department-specific goals. However, if its true that the organization has an overall vision and that each department serves this one vision, it's only common sense that there will be many goals and projects that require the collaboration of multiple departments being able to work together as their leaders see fit.
Perhaps it's because we are a non-profit and many of us wear multiple hats, but workflows should be able to run freely between different departments/workspaces. I don't want to create a whole new workspace just for one app.
One good example is that we have an app to evaluate candidates for jobs. It's in our Human Resources workspace of course. However, leaders of multiple departments come together to interview the candidates (HR rep, psychologist, direct-supervisor, executive director), but in Podio, we do not have a place where we can all collaborate unless I give them all access to the entire HR workspace or make a new workspace only for this one app which will neither will be able to collaborate well with the rest of the HR apps.
Another example is that we have a marketing department that sends out fundraising letters. Our admin assistant receives the response cards where supporters tell us a series of different things we need to respond to. These requests might be to update their information (admin assistant), setup a recurring donation (finances department), match a child to a new sponsor (child sponsorship department), or add someone to our email list (marketing department).
I made a beautiful app where our admin assistant can upload an image of the response card and check boxes to say what requests are being made. Then I went to create a workflow so that for example, when the "setup new recurring donation" box is checked, a task is automatically created for our finance team to do this.
However, again, this is impossible without the ability to share just the Response Card app with certain people outside of the Marketing team, unless again I add all of these people to the Marketing workspace or make a separate workspace just for this one app.
I have many other examples! Just imagine our maintenance team which serves every department in the organization! Or our finance department that receives budget requests from every department in the organization.
Podio should be flexible enough to adapt to all types of organizations. Please, please make this simple edit and soon so that our org can really start using Podio daily to help us become more productive! 80 children in our children's home depend on this! : )
