Hello people out there that would like to automatically clone data between Podio APPs.
This can be done very effectively with a Podio partner APP called Zapier. Zapier allows data transfer between a large number of popular apps including between Podio Apps (www.zapier.com). You can trigger data copies within Podio using Category Field "Commands", explained below.
In our company we use Zapier "Zaps" to trigger automatic data transfer as follows:
    1. From a customer master database APP (In a Marketing workspace) we "Zap" to create a Lead in a Lead APP in a SALES workspace. We created a category field in the customer database app called ACTION, when ACTION=CONVERT TO LEAD the Zap grabs the contact data in the contacts app and copies it across to lead to create a new lead, it happens within a few seconds. The user then just needs to enter the lead details
    2. Convert a Lead to an Opportunity - in our company an opportunity is a much more complex APP than a Lead and contains relationship links to many other APPs - such as multiple customer contacts (lead has just one), Customer Issues library, Probability History, competitors, quotations etc
    3. Copy Google contacts contact to Podio Customer database. We trigger this using a special google contact group (Copy to Podio). We actually use a another third party app called PieSync to get contacts from Google Contacts to a staging app called Piesync and then a POdio --> Podio Zap to copy that data automatically to our customer contact master app.
    4. Copy "Contact Us" contacts - people that contact us via our website into a "Contact Us" app. If we judge those new contacts to be valid we use a category ACTION to move the contact detail automatically to our master contacts database. You can see this in action on our website at www.growth-in-focus.com have a look at the "Work for Us" link on the home page.
You might also want to check out Globiflow (www.globiflow.com) which allows many other workflow possibilities. For example, if someone uses the "work for us" link on our website, We have Globiflow setup to send them an automatic email containing details of the next steps in our candidate process.
In Summary Podio + Zapier Zaps + Globiflow = an amazing ERP system with CRM, Marketing Campaigns, Quoting and Accounting, training Database, Plus, plus, plus - that you can configure yourself entirely.
    I hope this helps
    Regards Mike

"You took the words right out of my mouth". Last week I had the same idea to post this same subject. It is very recognizable that when building an organization there often is a change in the data scheme. I encountered this quite often because start-ups sometimes need to invent there business processes on the go. Podio is ideal for accompanying this process.

Clone is not ideal. Moving apps between workspaces would indeed be a very handy option. Especially when there are referenced items things become complicated.

I'm struggling with Clone as well because it's not bringing over the fields that I added to the app. I added a few calculation fields and was hoping I wouldn't have to redo them. Are there certain types of fields that don't clone or just those added from when you installed the app?

Hi Ann, you are right. Calculated fields have to be re-engineered. That's another argument for have move instead clone.

    +1 for this feature.

+1 for this feature. I know Zapier, have checked out Globiflow and it's interesting, but this to me is such a basic must have. The only alternative (which would be very desirable also) would be to manage user rights at the app level.

I tried to implement Mike's strategy, above, and I am ok having to recreate calculation fields, but what about comments?

Has anyone been able to clone an app and find a work around to get the comments either copied or transferred as well? The comments are one thing that stay with the record and really cannot be recreated.

I would be grateful if someone could share some sort of work around for this.

A couple of comments on this thread.
Moving Calculations: The App Store is a great way to clone multiple apps from one workspace to another and include calculations and all your java script magic. To do this go to the workspace wrench icon and copy apps to the App Store - you can do this as a private app pack - that is only visible to your organization. Then create your new workspace and add your apps from the apps store. They will be empty of data, but you can use XL export/import to move the data - it's very flexible once you have got your head around the duplicate handling. XL export/import does not manage comments.

Moving comments: as another poster said you can use either globiflow or zapier to move comments from a source app to a target app but you will need to create a text field in the target app for the copied comments, they won't go to comments in the new app. My preference is globiflow for app to app data move workflows because it is faster, normally instantaneous and you get to see the new app data creation as an activity in the source app activity list - so you can click on the data creation activity and go straight to your newly moved data.

This work around posted as the "official comment" seems very technical and rather cumbersome and not mention expensive. We are a small business and use Podio to track all our activity. I already subscribe at the highest level to have Globi-flow. It seems to me for what I'm paying I should have the ability to re-organize my structure easily when needed and not need to purchase yet another 3rd party app which at least from the other comments, does not seem to copy everything anyway. I've used much less robust programs previously and they allowed this feature. Why can't Podio?

This coupled with the fact that there is no data retention for deletes makes me very scared about accidentally losing very important data.

+1 for this feature request. For a database, creating a data storage feature (Comments) that can't be exported or moved is nuts. What are we supposed to do: *not* use Comments for any communication we'd like to preserve? It flies against the primary value of Podio, which is the ability to make the tool evolve according to our evolving needs.

    Hi Jacob,

I completely understand your frustration and need to have this feature. Clearly there is a lot of desire to have it integrated fully into the platform.

In the meantime, if you have a programmer at your service, or feel like delving into it yourself, you can do this (and a whole lot more) through our API. The documentation for which may be found here

    https://developers.podio.com/

For API related questions, you can search in this developers Forum for help and inspiration from other users that might have done the same operation already:http://stackoverflow.com/questions/tagged/podio

    Best Regards,

    Dana - Podio
