    We had the same issue, so we made a 'documents' app and added all types of fields to indicate what the actual file is, like incoming letter, contract etc and added a text field in order to be able to make notes about the file. Then, we just add the actual file in question to this app. An additional advantage is that we can add more than 1 file to the same record, which comes in handy sometimes when we receive a letter enclosing another document and where it woud not necessarily be desirable to scan the whole lot into 1 file. Or an email and attachments.

    @JL - very true, it even allows you to have one document in a library or repository app refer to multiple items, but it would still be good to annotate (versions of) files without having to go through the whole process of making a separate entry for each file. As an alternative you could post a file in the comments section but that would make files floar away and 'disappear' in the time line.
