Private Items
It seems permissions are set at the Workspace level. This is good architecturally, but in real-life collaboration with clients, sometimes you want to communication with a fellow Employee within the context of that workspace or app that you're working in and have it be private, rather than shared with all workspace members.
This has applications when using Podio as a help desk, CRM, Project Management, or really anything that Podio does! It's kind of the achilles heel of Podio so far that we've found. We love the flexibility and customizations, we love the architecture, but in this way the permissions schema is rather lacking.
Feature request: share any item or comment with a specific person, or even Employee Network, versus all Workspace members.

I couldn't agree more. I came up to the exact same conclusion when comparing all other project management solutions out there. Not being able to have private comments in context is THE achilles hell of Podio in my opinion as well. Teamworkpm.net does that perfectly for example. I suggest you guys take a look at how they did it and get some inspiration. With that implemented,Podio would be amazing. I already raised that with the Podio team and they proudly answered : "We love the fact that Podio is fully transparent. But you know what, how about creating different workspaces?"..........

I am wondering about this as well. I am using Podio to manage my clients and think it is really great! However I have run into this issue that may make me look for a different program. I would like my admin assistant to have access to editing contact info, adding new clients and even assigning tasks but at this point cannot because I have just one note section for each contact that needs to be confidential. Since it is set up to share all or nothing right now and so I share nothing...therefore severely limiting the functionality that I desire from Podio. Even if there could be a check box in the comment section that allows you to make comments that only you can see, that would make a world of difference!

Ugh, JS. I'm glad they love that Podio is transparent. I don't want transparency. I want to know what's going on, but it ain't a democracy :-p
Here's my situation: I have myself and two subcontractors that I have do tasks for me. Sometimes they will both work on the same project, but at different stages. I don't necessarily want Jane to know which projects or how many projects Betty is working on. I don't want them seeing what the other is doing. I suppose I could create each project as a workspace and then add whoever will be working on that project to that workspace, but that seems like a LOT of workspaces considering there are often 2-3 projects going at a time and they change from week to week.
I don't know. I've been using Podio about a week and so far I love it for the most part but issues like this and the calendar just leave a bad taste in my mouth. As it stands right now, I don't even know why they have a calendar :-p

Podio might not be the right tool for me for the reasons explained by Anne.
If I had to create 20 different workspaces to allow for various access rights to app items, I would at least need the option to extract information from one workspace into another workspace which would then serve as an overview workspace over all the others. -
Oh no! I have just started testing podio and I was loving the flexibility but just came to search how to make a project private. I wanted to give the client tasks to do but NOT have them see all the tasks my team was doing. I assigned my demo client a task and thenI logged in as my demo client. I realised I could view everything about that project. Which isn't going to work for me?
And these comments lead me to believe I can't do that. Why, why, why is it so hard to find the right project / team management platform? For working with teams,this seems to be a "must have" item. It would seem to be the norm that a project manager would have items that were "need to know" only.

We do use Podio for Projects. But have a Workspace for each project area would have all projects separated for administration. We have all in the PMO Area, and then share on the Shared Items. The only problem is the visualization: It is a mess. All shared items aren't organized. Think only having them grouped would help lots.

Suggest adding three things:
- User Groups: to blanket user access control for masses of users by group
- Restrictions: to enable one off restriction of record creation (if for example there is a confidential record like a recruitment program)
- Parent/child carry through: If access is granted to one record, then the user should be given ability to grant corresponding permission / restriction to children records automatically. For example if I wanted to get my IT co to work in a Help Desk Object, they could create records in children accounts such as Tickets. -

Hello, I have a need of creating confidential items within Podio.
I did my best isolating workspaces but still some financial items such as payment requests are being created in my general operational workspace. Are you guys planing to implement something like a confidential flag in which I specifically select a user that could see the item?
There has been a while since anyone gave a feedback on the issue but the matter - highly important - still unsolved nevertheless.
I would be glad to hear good news from the Dev team.

Any word on this? I'm shocked this doesn't exist in Podio. I just purchased Podio and am not pleased the most basic security doesn't exist (as a developer, when I wrote an app recently for a client, I had 3 levels of security and that was an app *I* wrote with a 1-man team. How can Podio NOT get this done?)
