You need "master" apps that work across all workspaces

    Hey Bob,

    You shouldn't create an app for this in every workspace. Instead use the app reference function to link Products for example across spaces: https://help.podio.com/entries/21683251-app-references

    The video you linked to only shows how to reference between apps within the SAME workspace.  Can the same be done between DIFFERENT  workspaces?

    Yes, you can link across workspaces as well :) The video is a bit old in design, sorry about that.

    Thanks, I am beginning to get it.  But, some of the fields I add from other workspaces do not show up on the app.  What am I doing wrong?

    Only the first field will show, the rest will be a link :)

    Sara...I think it would be much more beneficial if the linked element that is shared between apps across multiple workspaces showed all the same data across workspaces, rather than a link. If I'm doing project management and a contact and company was linked from a prospect app in my prospects workspace, I shouldn't have to switch to the prospects workspace to get the contact information ...i'd be leaving my primary workspace to do this. Even still, what if I gain an accountant. I would want him to have access to the accounting, but not the sales workspace. Furthermore, I definitely wouldn't want a sales employee to have access to the accounting workspace.

    Let's take it one step further and do a demo on how I see my ideal workflow in podio....

    Step 1: In a prospecting & sales workspace a sales employee prospects and sales product x to a new client. That "lead/prospect" is converted to an account. (this I can already do with podio).

    Step 2: That account is automatically (or manually) is then shared to an accounting workspace. The accountant would then take care of their workflow within that workspace i.e. billing, invoicing, etc. After payment is approved, my accounting employee could then share the new "account" from the "account" app to a customer service workspace (originally within the prospcting & sales workspace). <- Can I do this in PODIO?

    Step 3: My customer service employee could then execute the normal new customer protocols and then (when required based on the purchase made by the new client, could then choose to share this "account" with the project management workspace. <- Can I do this in PODIO?

    Step 4: My Project Manager could then assign a web developer or designer to the newly created project based on that new "account"....etc, etc.

    I would be ideal if, as the owner of my podio account, aka admin, I could also when setting up this structure, designate what items are shared between workspaces for a particular account.

    It would be okay if I had to have all of these workspaces consolidated into one master comapny workspace, but only if I could designate what apps each user (employees and team members) had access to within a workspace, but from what I'm reading across the knowledge base and forums is that is not the case. To my understanding if someone has access to a workspace, they have access to all the apps within a workspace.

    Any thoughts on this? If I could get some guidance, I would be very appreciative. Thanks in advance.
