Privacy options for projects/deliverables
Maybe what I'm looking for exists, but after an afternoon of browsing I can't seem to get podio to do what I want.
I have an agency, and the way I get work done for various clients is via a core team of individual contractors who work full time for me, but they all do their own thing and I don't always want everyone to know the fine details of what the others are doing.
I want to be able to add all my contractors into a workspace, but I don't want them all to be able to see everything. For example, I may have a "quick SEO optimization for example.com" project. For deliverable I might have contractor A doing keyword research, and contractor B doing a technical site audit... but there is no need, nor do I want contractor A and B to be viewing/editing/commenting in each other's deliverables.
So when I create a deliverable, I don't want that deliverable to be visible to anyone but the person who is responsible for it.
I did find the share feature which allows me to share an item with someone outside the workspace, but that doesn't work because then it ends up in bundled in their "shared with me" section and they loose important features like the ability to create views/filters.
Is there a way to do what I want in Podio? If not, is it something I might expect to see in the future?

When will this be available? The workarounds will definitely not work especially when we have over 100 clients that we'd want to keep separated. They'd have around 50 items shared to them. it'd be nice to allow a client into a workspace that is only readable by the linked contact to items within apps.
It'd be nice to have a standard view like we users have... but within each app, only the items that are shared to that one client are visible, and then they are also read only.
Podio is not built for easy client collaboration. We cannot make a workspace for each of our 100 clients. Podio solutions need to be scalable.

I'm sorry Sara, but with all due respect. I'd rather not spend 50 hours of my time to accomplish something Podio is too lazy to accomplish in likely the equivalent of less development hours.
Instead of trying to solve our gripes with your missing features, perhaps you can start telling us you're adding them to your roadmap, which you can show us at some point so we actually know what you're doing.

To be 100 % honest we have not prioritized to build this and it is not something we plan to do short-term. It is not on the short-term roadmap. Sorry about that.
However, please keep the votes coming. So far 8 people would like to see this - and it is great to have you vote and share inputs like this.

I mean, I noticed that when you share several projects, you can direct the user to the SHARED workspace under the organization in their sidebar when in Podio. THAT is very helpful and a good start. But each client may end up with about 20 items in that screen. Maybe we unshare the item when not in use... then reshare it when in use. That could actually work and solve this problem of privacy.

Next release will be an improved version of the Podio calendar (monthly and weekly views). We will update here when it is out: https://help.podio.com/entries/23220251-Add-Month-Week-Views-To-Calendar
Glad to hear it can work with sharing items :)

Hi Sarah, I'd LOVE to see this functionality. The issue I'm running into with Podio is that I have 25 workspaces right now, and it's just not easy to manage. To be more specific, it's good to know about the search bar, I wasn't aware of that. But for time management, it makes it difficult.
I've love to bring in external collaborators, but to be honest, I just don't have enough privacy available. I can't have a client watching the updates on projects or tasks they're not involved in, it's just inappropriate and hinders the work flow.
For time management, I mean time tracking. There are multiple services for integration with external tracking tools, but the setup is time consuming and the subscriptions get very, very expensive.
I was wanting to bring my workspaces down to only five - websites, designs, advertising, meetings and events, and one more tbd. But I don't have the privacy available this way.
Do you have any recommendations? I will explore the share feature, but I'm looking for efficiency.
Thank you much!

I've been using podio for some parts of our business and trying every which way to find a work around to this issue that isn't ridiculously admin intensive. I haven't found one yet, and therefore haven't been able to fully migrate the business into podio. I know this is something you've said is not on the roadmap... but is that because it's just considered a low priority or is it something podio has no interest in ever doing?

Hey Rogan and Rian,
@Rogan, unfortunately I don't have any suggestions other than what has already been said prior in this thread; either build separate workspaces or share individual items.
@Rian, We have decided, for now, not to include and build further permission / privacy levels as we like to keep Podio as simple as possible, deeper levels of permissions / privacy might complicate the structure of Podio even further. However, we also understand this could be very useful to have and therefore is on the lists of feedback but not on the short-term roadmap. The priorities might change in the future but no current plans.
Please keep the votes coming, it is very helpful for us when setting priorities going forward :)

2 years after, nothing has moved...
Imagine sales: you don't want one salesman to see what the other salesmen do. Using the workaround with workspaces, imagine the manager switching back and worth from a workspace to an other...
CRM are done for that one would say. But then it won't be integrated with other work processes which a greatly done with Podio. Like salesman salaries calculation based on commission rates. Which none of the CRM do.
