Permissions/Roles Suggestions - More Granular Approach?
AnsweredWe'd like to be able to do things like share a schedule/list but not all the tasks around it within our org.
IE - marketing dept has lots of back and forth and needs to be able to report progress, but some of these tasks are sensistive, so we need a role or a mechanism that is more granular. Also I made a few users "light" and even tried to set the app permissions as restrictive as possible, but users could not only see these tasks, they could create new ones and even delete other's tasks. This is not good.
I hope there are permissions/role changes coming down the pike. Thanks!

We definetly need more Granular Approach when it comes to Permissions.
For example, I create a Worspace --> Project --> DEliverable.
I have 10 users in the Workspace. However, I don't want everyone to be able to see every Deliverable, but only the one they are Owner / Assigned to.
This will help a lot.

Not having granular access control is a deal breaker. I spent quite sometime to investigate the platform and intend to use it as CRM for both our internal sales people and partner. Several problems become apparent
- I do not want to have leads visible to all sales person.
- I do not want to have customers approached by one reseller/partner visible to another.
It seems that the recommendation is to create 1 work space for each sales person and partner. However, if I were to do that, I will not be able to see the complete picture.
So Podio, please buckle up and get the implementation right ! Having per item/per field access control is a must !

At the top of a (small) organization, I have meetings with different "departments", so I naturally have a Meetings app in Podio. App-linked to the Meeting items are items from a "Discussion Items" App, which hold the different conversations. Currently, I have 5 copies of these apps, but would love to have 1 meetings App, each meeting item includes different people who can see that item. With one "Discussion Item" App, I could bring different people into different Discussion Items. Now, each discussion is siloed by workspace.
We LOVE Podio, and are working around these issues. I would love it if we could put apps in a Global Workspace, and move permissions down to the app and item levels. Everyone has 1 Meetings App, which shows the meetings they are involved with across the organization. Many of us have multiple roles, and therefore are now using multiple copies of multiple apps.
Another issue is when updating the functionality of the Meeting App, I have to do it 5 times, in the 5 workspaces, so I can preserve the comments that would get stripped by the export/import option. Another case for having permissions at the App and Item level. Common functionality would be centralized. I'm sure you guys know this, and if it was easy we would already have it, but thanks for listening!
How do you guys handle this? Do you make multiple copies of your core operating apps to the different workspaces? Thanks!

I really do hope Podio introduce more permission controls. I've read a number of times how Podio are about 'openness' - I don't even know what that means (by that I mean, it means nothing at all). It's typical 'tech' company spin that makes everyone initially say 'oooh' but actually doesn't deliver once you realise that you want to put your sensitive HR, Legal, Sales and other information into Podio.
Everywhere on the Podio spaces I see people requesting more permission levers. Please Podio, listen to your audience.

for us like salesforce we see just one solution. If there will be a specific field permision functions, then it will be great. There are some fields that is more sensitive that others. If we could shitch them just in read-only mode - it would be breat. I don't think it will be very complex. You must just add some checkboxes.

The only way to achieve this currently is to every single content within an app 1 by 1. It is not very user-friendly IMO.
@podio Please make it happen. It's been more than a year now that this feature has been constantly requested and searched for. See for yourself:
The main reason personally to have that sharing option is to let my clients and external collaborators post new content in an app. Currently they can only modify an item that I've previously created and shared. This is a bit laborious for such a simple use care.

I have tested Podio several times over the past 1-2 years, and the lack of granular permissions has been one of the reasons I have not yet been able to move my whole business into Podio. If I invest in a new system it must provide flexible access control. I have budgets that I cannot have accessible to certain employees, and certainly not to every vendor and client involved in a project. We have internal communication and design iterations that are not appropriate for our clients to see. Would our clients have access to our contact records for them, with our notes about them? Yet the benefit of implementing a system like Podio is in bringing clients in.
In a brick and mortar analogy, I want, and need, my clients to come to our office and meet with us in our conference room, but I can't, at the same time, give them access to our books and every filing cabinet. It's not possible and not appropriate. It's why doors were invented. There are public spaces and private spaces. I don't see how it is possible to conceive of a product in the category Podio is in without acknowledging this and implementing a solution as a core feature, as serious users will not be able to cope with complicated workarounds indefinitely.
I will continue to look out for progress on this and a few other issues and see if perhaps I will be able to embrace Podio in the future.

Throwing my vote in here as well - app level permissions would definitely be a plus. For example we have to have two HR workspaces, one very restricted, and the other open to all employees. The apps within these two workspaces are very closely related and really should be in the same workspace, but for the privacy issues must be separate. If we could set visibility of an app (as a subset of the people who have access to the workspace) that would be really helpful!

Podio is awesome in most ways but we are about to give up of Podio because one very important (and simple) feature that is missing. We are unable to protect the read access of an record for certains users. The unique way we know is to create two workspaces with different users on them. However this is a very big problem because the information is very dispersed. We would like to have a single workspace for a project with the possibility to hide some information, like strategic, financial or a human resource meeting.
The problem would be solved if:
- A record inside an app could have a flag to set it not visible to "basic users".
- A record inside an app could have a flag to set the users that can see this record.If a whole app could be hidden for a certain users inside a workspace it could be a weaker but reasonable work arround too.

LOL I was just testing Podio again and was wondering why on earth didn't I implement this awesome system a year ago when I first tested it?!? Then again I came to the point of "Hey! Does that mean all sales people can see all leads and contacts and everything and not just their own ones??". Then I found this post and yes indeed it seems so. Making a separate workspace for each sales person is indeed not a problem solver because of various reasons. It's so sad that Podio is so flexible but when it comes to one of the most basic functionalities of any CRM, Sales People should only see their own data, it fails. :((((

+1. The member roles list by Admin, Regular and Light is very clear (https://help.podio.com/hc/en-us/articles/201019898-Member-roles-in-workspaces). However there is little flexibility for administrators. I want to allow users some of the admin level rights e.g. 'delete others' app items' but without granting 'export to excel' rights which appears in the Regular member level.
We are always trying to bend the limited functionality of member roles to work for us but feel that unless they become more flexible and granular they will not be fit for purpose in a larger organisation. -
Ok. We are looking for more granular permissions as well. Single project multiple vendors - need to project as a whole on our end but limit specific vendors to specific deliverables.
Still kinda new to Podio but thinking this is plays out in other places too. eg Staff assessment - manager should only see their staff etc.

Maybe instead of making it more granular they could share data between workspaces or let you see an overview of multiple instances of apps. For example -
We have 30+ clients who we work on projects with throughout any given year. I could create a 'Projects' app that is cloned/linked to many workspaces so that we could actually collaborate with different people in different projects. Employees of the organisation would be able to view all 'Projects' in the employee network tab. Any changes made to the structure of the 'Projects' app would apply to all workspaces.
That would protect their business model and we would promote it to more users. More people would then experience how useful Podio is. But for now there is not much value to us to create more workspaces and include clients since the data is very sandboxed.

This is the information I was looking for, but not the answer I wanted. I have a project/workspace I'm managing and wanted to allow my volunteers to be able to connect in and update the information related to areas they are assigned. Unfortunately, there is no apparent way to control and restrict them to only seeing the areas that are needed.

Hey Stuart, what kind of permission controls are you suggesting? App level permissions? As said before in this thread, we don't want to make Podio complex, I think that would be a bad experience for the people using Podio.

Yes, app based permissions such as read/write etc per app would be great and perhaps further workspace permissions.
Also, I have seen some other people say that chat would be good for them. I agree and it would allow us to use Podio exclusively for communication and drop Skype.
I think a well presented product that has complex features need not be a 'bad experience' if the functionality is presented well and available in a tree-like manner, i.e. 'advanced' functionality for those that wish to use it. Frankly, setting access permissions for users within an app isn't that complex nor should it be considered a negative. Clients (i.e. myself and others) who use your software will after adoption realise that there is further functionality that they want. As long as a reasonable percentage of your customers want it, there's good reason to add it - as long as you continue to be mindful of software bloat.
